Role: Business & Admin Support – Battersea Ironsides Rugby Club

Key Rugby Club Relationships:

- Rugby Club Chairman
- Rugby Club Secretary (Line Manager)
- Rugby Club Treasurer
- Section Chairs: Minis, Youth, Seniors
-Junior Membership Officer

External Relationships:

- SA Ledgers – appointed Book Keepers
- Battersea Ironsides Sports Club: Grounds Committee & House Committee
- RFU & Surrey RFU: key officials & admin. staff
- Key service & equipment suppliers to the rugby club

Main Role Responsibilities:
Supporting the daily running of the Rugby Club:

- Act as 1st point of contact for managing 3rd party suppliers: including running an appropriate tendering process, order placement & payment query resolution;
- Work with the Rugby Club Treasurer to provide appropriate Financial information to the governing bodies and budget holders within the Rugby Club;
- Create & maintain appropriate document storage facility to support the Management Committee;
- Act as the content manager for the Portal (Ironsides Website), working with appropriate Committees & volunteers to ensure the appropriate User Experience for both members & 3rd parties interacting with the portal;
- Ad hoc work as directed by the Management Committee.

Support the Sections of the Rugby Club & Volunteers in Club co-ordination roles:
- Develop a Playing Calendar for the Rugby Club identifying when: coaching courses, referee courses, 1st aid volunteer course, safe guarding courses, etc. will be offered by the club to players, volunteers, members, etc.;
- Support course organisers in: promoting courses, booking venues, filling spaces, etc.;
- Set up appropriate ways of working to allow efficient & effective communication of what date & times games are being played, to allow appropriate allocation of match officials/ physios & timely communication to the Sports Club on food & beverage requirements;
- Act as central point of contact for booking entry into Surrey RFU competitions, including setting up an appropriate payment process with the Club treasurer;
- Set up appropriate ways of working to ensure RFU: GMS database records, match the Battersea Ironsides portal data records & all GMS entry requirements are met for meeting the RFU’s requirements for maximising the International ticket allocation to the club;

Project Work:
- Provide appropriate support to the appointed Project Manager for the Scout Hut renovation project.

The successful candidate will be:

- Self-motivated/ self-regulated individual able to cope with the challenges of working within a volunteer organisation;
- Self-starter, capable of planning their weekly diary to allow the efficient and effective running of the Rugby Club, with excellent communication & numerate skills;
- Capable of engaging in a breadth of tasks ranging from strategic to administrative;
- Team player, able to work effectively with both the officers of the Club, the volunteers who help run the activities at the clubs and the players, members, etc. who enjoy playing & watching rugby at the club;
- Experience of running a business operation &/or working in the running of a sports club would be preferential.

Working Hours/ Contract Period/ Remuneration:

Initial assignment will be: 10hrs per week, for a contract period 12 weeks; with a payment of £20.00 per hour.
